Booking and Payment Terms

1.1 Booking Confirmation

A booking is confirmed upon receipt of a completed booking form and payment of the deposit. The booking form can be completed online via our website or by telephone.

1.2 Deposit

A non-refundable deposit of 20% of the total holiday cost is required at the time of booking to secure your reservation.

1.3 Balance Payment

The balance of the holiday cost must be paid no later than 6 weeks before the start of your holiday. For bookings made within 6 weeks of the holiday start date, the full amount is payable at the time of booking.

1.4 Payment Methods

We accept payment via the on-line booking system. All payments should be made in Pounds Sterling.

1.5 Booking Confirmation

Upon receipt of your deposit, we will send you a booking confirmation. Please check this carefully and inform us immediately of any discrepancies.

1.6 Right to Refuse Booking

Porthcothan Bay Holidays reserves the right to refuse any booking without giving a reason.

Cancellation Policy


2.1 Cancellation by the Guest


In the event of cancellation by the guest, bookings are non-refundable.

2.2 Cancellation by Porthcothan Bay Holidays

In the unlikely event that we need to cancel your booking due to circumstances beyond our control, we will refund all monies paid by you for the holiday. Our liability will not extend beyond this refund.

2.3 Travel Insurance

We strongly recommend that you take out comprehensive travel insurance at the time of booking to cover cancellation, personal belongings, public liability, and medical expenses.

Arrival and Departure

3.1 Arrival Time

The property will be available for occupation from 4pm on the day of arrival. Please respect this time as it is necessary for proper preparation of the property.

3.2 Departure Time

The property must be vacated by 10am on the day of departure to allow adequate time for cleaning and preparation for incoming guests.

3.3 Requirements Upon Departure

Before departure, guests are required to:

  • Leave the property in a clean and tidy condition, as found. You must not move any furniture


  • Remove all rubbish and recycling to the designated collection points

  • Report any breakages or damage

Return all keys as instructed

Property Use and Guest Obligations

4.1 Number of Guests

The number of people occupying the property must not exceed the maximum number stated in the property description or booking confirmation.

4.2 Reasonable Care

Guests are expected to take reasonable care of the property and its contents, and to leave it in a clean and tidy condition.

4.3 Smoking and Vaping

Smoking and vaping are strictly prohibited inside all properties. Evidence of smoking or vaping inside will result in additional cleaning charges.

4.4 Pets

A maximum of 2 dogs are allowed, unless by prior arrangement with the owners. Dogs must not be allowed upstairs or onto the sofas. They must not be left unattended unless fully trustworthy. Evidence of dogs damaging the property, or of going upstairs and onto the sofas will result in additional cleaning charges.

4.5 Subletting

Subletting or reassigning the booking to third parties is strictly prohibited.

4.6 Noise and Disturbance

Guests must respect neighbours and avoid causing excessive noise or disturbance, especially between 11pm and 7am

4.7 You’ll be provided with a Welcome Guide and an Accommodation User Guide at your Accommodation that contain important information about your stay with us. Please ensure that you and your party read these folders carefully on arrival. You must also ensure that you and your party familiarise yourselves with the layout of the accommodation and the location of the fire exits, fire extinguishers and fire blankets.

If your Accommodation has an open fire, stove or wood burner, you must comply with the instructions found in the Welcome Folder and/or Accommodation User Guide, particularly regarding the appropriate fuel to use, for your safety. If there is no open fire, stove or wood burner you must not create your own anywhere at the Accommodation. Guests should not sleep in any room which has an open fire, stove or log burner

You must not charge an electric vehicle from the Accommodation unless a designated electric vehicle charging point has been provided. Supply inside the Accommodation may not support the charging of an electric vehicle. Electric vehicle, scooter and bicycle batteries must not be charged inside the Accommodation as they are prone to thermal runaway which could create a fire risk.

Liability and Damages

5.1 Guest Liability

The guest is responsible for the property during their stay and will be held liable for any damage, breakages, or additional cleaning required beyond normal use. This includes damage caused by any member of their party.

5.2 Reporting Damage

Any damage or breakages must be reported to us as soon as possible and before departure.

5.3 Security Deposit

A security deposit of £250 will be required with the final payment. This will be refunded within 7 days of departure, subject to the property being left in satisfactory condition.

5.4 Our Liability

Porthcothan Bay Holidays accepts no liability for any accident, damage, loss, injury or inconvenience to guests or their possessions during their stay, unless proven to be caused by the negligence of the property owner or their representatives.

5.5 Property Access

The property owner or their representative reserves the right to enter the property at any reasonable time for essential maintenance or inspection.

6. Complaints Procedure


6.1 During Your Stay.

In the event of a problem during your stay, please contact us within 24 hours of arrival or immediately so that we can take appropriate action. Most issues can be resolved quickly if we are notified promptly.

6.2 Unresolved Issues

If an issue cannot be resolved during your stay, please submit a written complaint within 7 days of departure. We will investigate and respond within 30 days of receipt.

7. General Terms

7.1 Accuracy of Information

While every effort is made to ensure the accuracy of property descriptions and details, Porthcothan Bay Holidays cannot be held responsible for any inaccuracies or changes made necessary beyond our control.

7.2 Wi-Fi and Internet Access

WiFi is available via satellite link. The password is Stay2020. Usage must be kept reasonable. We reserve the right to withdraw the service if usage is unreasonable.

7.3 Force Majeure

Porthcothan Bay Holidays cannot accept liability or pay compensation where the performance of our contractual obligations is prevented or affected by circumstances amounting to force majeure (including, but not limited to, war, riot, civil strife, pandemic, industrial dispute, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions, or other circumstances beyond our control).

7.4 Data Protection

Any personal information you provide to us will be used in accordance with our Privacy Policy and the UK General Data Protection Regulation (UK GDPR).

7.5 Governing Law

These terms and conditions are governed by and construed in accordance with the laws of England and Wales. Any dispute arising under these terms and conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.

8. Updates to Terms and Conditions

Porthcothan Bay Holidays reserves the right to update these terms and conditions at any time. The current version will always be available on our website.

By making a booking with Porthcothan Bay Holidays, you acknowledge that you have read, understood, and agree to these terms and conditions.
